What is e-Events?
e-Events is the Hilton Family’s tool for planning small group events from start to finish online. You can use e-Events to reserve up to 25 guest rooms per night for your group, book any size meeting space, place food and beverage orders, rent audio/visual equipment – or all of the above. And because the whole process is done online, you can plan your event from start to finish without long waits and tons of paperwork, 24 hours a day, 7 days a week. e-Events may be used to book an event at any participating hotel within the Hilton Family, subject to availability.
When I use e-Events, will my event be handled in the same way as an event booked by calling the hotel directly?
Yes. All e-Events reservations for guest rooms, wedding ceremony and reception space, food and beverage, and audio/visual equipment are serviced with the same care as all events booked with the Hilton Family.
How does booking guest rooms through e-Events work?
When you book guest rooms through e-Events, you reserve a specific number of rooms for each night of your group’s stay. The number of rooms you request will be held for your event until the reservation cutoff date specified in your online contract. On or before the reservation cut-off date, you or your guests must “confirm” each reservation within your group by providing necessary information about who will occupy each room. You can easily confirm rooms for your group using the Hilton Family’s Guest List Manager tool. You can access Guest List Manager by clicking the link provided on your event’s confirmation page, or by clicking the e-Events tab in your HHonors® or Fast Reservations profile. Alternatively, your guests may confirm their own rooms on the Web, via telephone, or directly with the hotel using your property code, group code and event dates. This information will be provided to you on your event confirmation page. Any rooms not confirmed by the reservation cutoff date will be removed from your event room block.
Can I make reservations on behalf of my guests?
Yes. Once you use e-Events to reserve rooms for your event, you can use the Hilton Family’s Guest List Manager to confirm you guest’s rooms and provide the required rooming details. You can access Guest List Manager by clicking the link provided on your event’s confirmation page, or by clicking the e-Events tab in your HHonors® or Fast Reservations profile.
Will my guests be eligible for Hilton HHonors® points?
Each guest will receive Hilton HHonors points for their stay as they would for any other Hilton Family stay, so long as their HHonors account number is provided with the room reservation. This number can also be provided at check-in.
As the group planner, will I be billed for my entire group’s guest room charges?
As the group planner, your credit card may be charged an initial fee as outlined in the terms and conditions of your contract. The remaining guest room fees and other charges incurred by your guests will be billed upon checkout to the credit card provided for each room reservation.
How do I make changes to my e-Event?
Changes to your event can only be made by contacting the hotel directly.
Can I change or modify specific room reservations made by others for my e-Event?
No. Once confirmed, individual room reservations may only be changed by the person who confirmed that particular reservation and only pursuant to the terms and conditions the reservation.
With e-Events can I increase my block?
No, you are unable to increase. If you block 20 rooms, you may not increase it to 25 rooms.
Can I cancel my event?
Yes, you can cancel your event by contacting the hotel directly. You will be subject to any cancellation damages according to the terms and conditions of your contract.
Do I need to call the hotel to confirm my e-Events booking?
You are not required to contact the hotel prior to your event. However, hotel staff are happy to assist you should you wish to confirm your event or request changes to your reservation
What happens if I don’t receive a confirmation? Does this mean my event isn’t booked at the hotel?
You should receive a confirmation email shortly after you complete your booking through e-Events. If you do not receive a confirmation, please contact the hotel directly to confirm the status of your e-Event.
What information do I need when contacting the hotel about my e-Event?
You will need your confirmation number and group code when contacting the hotel regarding your e-Event. This information is provided to you on the confirmation page as well as via email when your e-Event is booked.
Do I have to sign a contract to guarantee my rooms?
When you book with e-Events, you agree to the terms and conditions of the contract that is presented to you online. Your final confirmation of the booking serves as an electronic acceptance of this contract. You do not need to sign any further contracts or paperwork before your event.
Can I work with a sales professional to arrange my block of rooms?
You may have a sales professional set up your block of rooms. This requires you to sign a contract, but allows you the flexibility to add rooms to your block if needed and if rooms are available. If you decide to cancel the block, you will pay a cancellation fee. If the event is held but the hotel does not realize the total revenue anticipated from your event, you agree to pay performance damages, which will be the amount necessary for the hotel to receive no less than 80% of the total anticipate revenue from your event.
What are the advantages and disadvantages of using e-Events to book my block of rooms?
Advantage - Guaranteed rooms (up to 25 room), you are your own planning manager, You can monitor your pick up, you choose the room type you desire, discount off the best available rate, you can book up to 14 days in advance, no attrition or penalty fees as long as you release the rooms by the cutoff date. You are in control.
Disadvantage - You cannot increase your block if all rooms pick up. We may not have rooms available during your weekend for a group block. Your family and friends can only book the dates your have blocked off.
What are the advantages and disadvantages of using a sales professional to book my block of rooms?
Advantage - Guaranteed rooms, you work with a sales professional. You are able to pull your room block and see who booked under your block.
>Disadvantage - You must sign a contract, you will be responsible for all pick up, attrition fees apply, increasing block is based on availability; low rate is not guaranteed.
What is a cutoff / release date?
That is the date in which your family and friends have to book their reservations by to ensure they receive your discounted room block rate. A cutoff date will be provided by a sales manager when booking a contract group. e-Events has a 14 days prior to first day of arrival “Release” date.
How do I know how many rooms are left in my block?
You may contact your Sales contact to see how many rooms are left. If you book through e-Events, you simply log in to “My Guest List Manager” and a list can be retrieved.
How does my family make their reservations if I book through e-Events?
Your family can call the hotel directly or the 1800-EMBASSY number to make their reservations. They do need to ask for your block.
Do you provide shuttle service to wedding ceremony or reception?
Yes. There is a small fee, depending on how many the hotel transports. You can arrange this with your catering or sales contact.
Can I have all my guests blocked together and on the same floor?
A block of rooms does not necessarily mean all rooms will be blocked off on the same floor. It is very difficult to block a social group that has different days of arrival. You may request this with your Sales contact, but it is not guaranteed.
Is there a charge for more than two people in the room?
Rates are quoted based on double occupancy. If additional adults register to the room there will be a 10.00 charge per adult.
Can I have welcome gift bags handed out at check in for my arriving guests?
Yes, this can be arranged with your Sales contact.
What does it mean when you can't book an e-Events group on line for my requested weekend?
This means that all rooms for e-Events have been booked by other groups. Contact the Sales Department for further assistance.
If I book through e-Events, do I make my own bridal suite reservation?
If you purchased one of our Wedding Packages and your Bridal Suite is complimentary, we will take care of that for you. If you are booking a room block and your wedding is not with us then you would take care of your own reservations. |
